Managing Files from the Admin Perspective
You have a range of options in managing and posting selected documents to the Volunteer Portal for easy access by volunteers. Documents can be posted to an individual volunteer, to volunteers within a group, to volunteers registered for an opportunity, or to all volunteers in your database.
Files can be uploaded in .doc, .docx, .ppt, .pptx, .txt, .xls, .xlsx, .csv, .msg, .jpg, .jpeg, .png, .gif, .rtf, and .pdf file formats. Each file must be less than 4 MB in size, and cannot exceed your entire system storage amount of 10 GB. Should you need more storage space, please contact Customer Support to make this request.
- Posting Documents to an individual volunteer:
To upload a file (or multiple files) to a volunteer, please follow the steps below:
- Login to your CERVIS Account.
- Click on Search / Manage Volunteer Database under the “Volunteer Management” section of the Main Dashboard.
- Locate the volunteer in question and click on the leftmost icon to Manage Profile.
- Click the View/Update File Attachments icon near the bottom of the page.
- Click the Choose File button to select the document from your computer that you would like to upload.
- Click Upload New File Attachment to upload the document.
- To give this volunteer access to view this document, click on the Post Document to Portal icon. This will post the document to the Volunteer Portal for this volunteer only.
- Posting Documents to all volunteers:
To upload a file (or multiple files) to all volunteers, please follow the steps below:
- Login to your CERVIS Account.
- Click on File Management under the “System Management” section of the Main Dashboard.
- Click the Choose File button to select the document from your computer that you would like to upload.
- Click Upload New File Attachment to upload the document.
- To give all volunteers access to view this document, click on the Post Document to Portal icon. This will post the document to the Volunteer Portal for all volunteers.
- Posting Documents to Group members:
To upload a file (or multiple files) to volunteers associated with a group, please follow the steps below:
- Login to your CERVIS Account.
- Click on Group Management under the “Attribute Management” section of the Main Dashboard.
- Locate the group in question and click on the leftmost icon to Manage Group.
- Click the View/Update File Attachments for Group icon near the bottom of the page.
- Click the Choose File button to select the document from your computer that you would like to upload.
- Click Upload New File Attachment to upload the document.
- To give all volunteers in the group access to view this document, click on the Post Document to Portal icon. This will post the document to the Volunteer Portal for all members of this group.
- Posting Documents to an Opportunity:
To upload a file (or multiple files) to volunteers registered for an opportunity, please follow the steps below:
- Login to your CERVIS Account.
- Click on Search / Manage Existing Opportunities under the “Opportunity Management” section of the Main Dashboard.
- Locate the opportunity in question and click on the leftmost icon to Manage Opportunity.
- Click the View/Update File Attachments icon near the bottom of the page.
- Click the Choose File button to select the document from your computer that you would like to upload.
- Click Upload New File Attachment to upload the document.
- To give all volunteers registered for this opportunity access to view this document, click on the Post Document to Portal icon. This will post the document to the Volunteer Portal for all registered volunteers.
