Opportunities in CERVIS can be marked as Archived for the purpose of narrowing search results when an event has reached a certain age. An Archived Opportunity is one that has been marked as such either manually or automatically. They are still in your system and their data can still be included in all reporting, but they will no longer show up in any default search areas.
Where can I find an archived opportunity?
You can specifically search for archived opportunities by running an Advanced Search. Click on the Advanced Search function which is listed under the Advanced Options found at the top of your "Opportunity Management Dashboard".
Scroll to the search option: Search for opportunities with this status and select the 'Archived' status. Click on the Search Opportunity Database button to run your search.
When is an opportunity archived?
Opportunities can be updated either manually or automatically to become Archived.
To manually mark an opportunity as archived, click to Update / Edit Opportunity (), scroll down to the Opportunity Status and manually set to ‘Archived’. Click Update Opportunity to save your changes. This change can also be applied in bulk by using the Opportunity Management Bulk Actions menu.
This setting can also be applied automatically to all opportunities based on a determined time frame after their end date. This is a global setting in your “System Configuration”, found under the Opportunity Management Settings section. The default for this setting is 'After 5 Year(s)’, however, this setting has several options ranging from 'After 1 - 10 Year(s)’, as well as the option to 'Never’ archive opportunities.
Why should an opportunity be archived?
Archived opportunities allow for a more clean and current view of your Closed Opportunities listing. All data from archived opportunities stay intact and can be included in all reporting, but by removing these from default searches it keeps your opportunity searches more efficient, and the view of your Closed Opportunities Listing less cluttered.
