Utilizing QR Codes in CERVIS allows your volunteers to more easily sign in for opportunities and access specific events. They can use QR codes with the sign-in console for a touchless sign-in experience, or you can create QR codes for any link in the system, such as direct registration links, reservation code links and more.
Enabling QR Codes:
Before you can utilize any of this functionality, QR codes must be enabled in your system. Any administrator can do so by following the steps below:
- Login to your CERVIS Account.
- Click on “Edit System Configuration” under the “System Management” section of the Main Dashboard.
- Locate the “Sign-in Console / Kiosk Options” heading and click on it to expand the section.
- Set the “Enable QR Code Sign-in” field to “Yes”.
- Click “Update Configuration” to save your changes.
Utilizing QR Codes on Opportunities:
You can speed up the process for volunteers to sign-in when they arrive for a shift by enabling QR code sign-in on your events. Volunteers will use the Sign-in Console kiosk that you have set up on site, but instead of typing in their name in the traditional way, they can simply scan the QR code that is sent to them in their confirmation or reminder email. The code can be displayed on their smartphone or printed out.
You can enable QR codes when creating an opportunity on the “Add New Opportunity” menu or follow the steps below to update an existing opportunity:
- Login to your CERVIS Account.
- Click on “Search / Manage Existing Opportunities” under the “Opportunity Management” section of the Main Dashboard.
- Locate the event for which you would like to adjust hours for the volunteer and click the "Update / Edit Opportunity" button to the left of the opportunity name.
- Locate the “Allow Mobile Volunteer Sign-in” field and set it to either “Yes - QR Code” or “Yes - QR Code (Express)”. Note that you cannot have traditional Mobile Volunteer Sign-in enabled on the same event as QR code sign in.
- Yes - QR Code: this code will bypass the volunteer’s name entry but the system will still prompt them to respond to your questionnaire (if enabled) and to choose the event for which they are signing-in. This can be used multiple times and for any opportunity.
- Yes - QR Code (Express): this will provide the volunteer with one code to sign in and one to sign out, but they will not need to do anything but scan their code and they’ll be all set. These can only be used one time, for this specific opportunity/shift.
Accessing a QR Code for a Link
There are many different places where you can access links to specific areas of the system. Some examples include a Reservation Code, a specific opportunity, a subset of opportunities based on Interest Category, and many more.
Anywhere that you see this link button “” you will have an option to just copy out the hyperlink like normal using this button “” or click on this button “” to have the system create a QR code that you can include in an email or on a flyer to promote the opportunity/opportunities in question.
Downloading Name Tags with QR Codes
You can download name tags that include QR codes that volunteers can use to bypass entering their name and verification code (if applicable) into the sign-in console. These name tags will include the volunteer’s profile picture, the volunteer’s name, the organization name, and the QR Code. Follow the steps below to do download these name tags:
- Login to your CERVIS Account.
- Click on “Search / Manage Volunteer Database” under the “Volunteer Management” section of the Main Dashboard.
- Search for and select the volunteers for which you would like to download name tags.
- You can search for a specific subset of your volunteers using the Advanced Volunteer Search as described in the article HERE
- At the bottom of the page, click on “Display Additional Options”
- Click on the “QR Code Nametags” button and your download will begin shortly.
- These are designed to fit Avery #5395 name tags
*Note that there are device requirements for use with Sign-in Console:
- Apple: for an iPhone, it must be an 6s or newer running iOS 13 or higher and for an iPad, it must be iOS 13 or higher to use Safari or iOS 14 to use Chrome.
- Android: there is some variation, but generally anything Android 9 or higher using Chrome is best.
