Question:
I want to include a picture in an email to my regular volunteers thanking them for their service, but it won’t let me paste the image into the email, so how can I do this?
Answer:
Since CERVIS uses HTML formatting for email messages sent from the system, there is not a way to include an image directly from your computer into the content of the email body (such as copy/paste). If you already have the image hosted online somewhere, such as on your organization’s website or a file hosting service (e.g. Google Photos, Flickr, Dropbox, Shutterfly, etc.), you can use the URL for that image as the "Source" for including it in the email.
If you have the image on your local computer hard drive, you can use the File Management functionality in CERVIS to host the image file. Once it is uploaded, you can either use the link for that file found in the File Management menu as the image source or select the image from the “Image List” in the “Insert/Edit Image” popup box (please note that the file must be under 200 KB in size to be inserted in an email). Please see the steps below to upload your image and then insert it into your email in any of the ways previously mentioned.
To upload a photo to CERVIS File Management, follow the steps below:
- Login to your CERVIS Account.
- Click on “File Management” under the “System Management” heading on the Main Dashboard.
- Click “Choose File” to select the image from your computer that you would like to upload.
- Click “Upload New System File Attachment” to upload the image to the File Management Dashboard.
To choose the image from a list of photos that you have uploaded to file management, follow the steps below:
- Go to the screen from which you would like to send your email.
- Type the email message then place your cursor where you would like the image to be inserted.
- Click the image icon () in the email toolbar.
- Select the image you would like to insert from the “Image list” dropdown. Please note: if you don't see your image in the selection list it is because the file size is too large.
- Make any desired changes to the image (such as the description or dimensions), then click “Ok” to insert the image.
To use the link created when you upload an image to File Management, follow the steps below immediately after the file is uploaded:
- In the File Management menu, click the link icon () next to the image file and copy either link.
- Go to the screen from which you would like to send your email.
- Type the email message then place your cursor where you would like the image to be inserted.
- Click the image icon () in the email toolbar.
- Paste the copied link into the “Source” field.
- Make any desired changes to the image (such as the description or dimensions), then click “Ok” to insert the image.
