Question:
How can I find new volunteers that have been added to the system over the last month or quarter?
Answer:
There are three ways to identify volunteers who are new to your organization.
Method 1: If you would like to be notified immediately whenever a volunteer profile is created, please follow the steps below:
- Login to your CERVIS account.
- Click on the "Edit System Configuration" link under the "System Management" section of the Main Dashboard. Please note, this option will only be available to CERVIS users with the Administrator access level.
- Locate the "System Settings" section and click on the heading to expand the section.
- Change the "Auto Assign Follow-up for new Volunteers" field to "Yes" or "Yes - Include QuickReg".
- Choosing the "Yes - Include QuickReg" option will ensure that you are notified of every volunteer registration whether they are using the full application or the QuickReg version.
- In the name lookup box for the “Assign Follow-up for new Volunteers to” field (just below the previous field), enter the last name of the individual who will be responsible to follow-up with new volunteers and select the person's name from the selection list when it appears.
- Optionally, if you would like to receive an email for every new volunteer in addition to the notification within the system, change the "Send Auto E-mail Notification of Follow-up Assignment" field (just below the previous field) to "Yes".
- Click the "Update Configuration" button to save the configuration.
This will assign a follow-up action every time a new volunteer profile is created and notify you via email that you have a new follow-up action assigned. Method 2: If you would like to run an advanced search to locate any volunteer that has been added to your system over the last month, quarter, year, or custom time frame, so you can send them a welcome email or take some other action, please follow the steps below:
- Login to your CERVIS account.
- Click on the "Advanced Volunteer Search" link under the "Volunteer Management" section of the Main Dashboard.
- Locate the "CERVIS Account Status Options" section of the advanced search page and click on the heading to expand the section.
- Locate the "Find new Volunteers entered into CERVIS between" field and enter the date range you are interested in finding new volunteers.
- Click the "Search Volunteer Database" button at the bottom of the page to display a listing of all matching volunteer profiles.

Method 3: If you would like to run a system report to display information regarding new volunteers for review or archival, please follow the steps below:
- Login to your CERVIS account.
- Click on the "Report Management" link under the "Volunteer Management" section of the Main Dashboard.
- At the top of the page, enter the date range during which you would like to find the new volunteers entered into your system. Select also whether you would like the report to be generated in a "Document" (Microsoft Word file) or "Spreadsheet" (.csv file) format.
- Scroll down and locate the "New Volunteer Report".
- Click on the "Run Report" button for this report and it will begin to download immediately.
