A note can be stored on a volunteer's profile that will be visible to users with Administrator, Leadership Team, or Group Leader access level. The information will not be visible to the volunteer unless they are assigned to one of these access levels.
Follow these steps to add, view, delete or search for a note on a volunteer's profile:
To ADD a note to a volunteer's profile, follow the steps below:
- Login to your CERVIS account.
- Click on the "Search/Manage Volunteer Database" link under the "Volunteer Management" section of the Main Dashboard.
- Enter the volunteer's name into the search field and click the "Search Volunteer Database" button.
- Once the search results are displayed, click on the “Update / Edit Profile” button ().
- Scroll down near the bottom of the menu and click the "Add Volunteer Note" button.
- Enter the desired information and click the "Add Note" button. Please note that the system will automatically add the date, time, and the person's name entering the note to the front of the text.
To VIEW the notes on a volunteer's profile, follow the steps below:
- Login to your CERVIS account.
- Click on the "Search/Manage Volunteer Database" link under the "Volunteer Management" section of the Main Dashboard.
- Enter the volunteer's name into the search field and click the "Search Volunteer Database" button.
- Once the search results are displayed, click on the “Update / Edit Profile” button ().
- Scroll down to the bottom of the menu and locate the "Notes" section on the volunteer’s profile.
To DELETE a note from a volunteer's profile, follow the steps below:
- Login to your CERVIS account.
- Click on the "Search/Manage Volunteer Database" link under the "Volunteer Management" section of the Main Dashboard.
- Enter the volunteer's name into the search field and click the "Search Volunteer Database" button.
- Once the search results are displayed, click on the “Update Volunteer” button ().
- Scroll down near the bottom of the menu and locate the volunteer note that you would like to delete.
- Click on the delete note icon () located just to the left of the volunteer note that you would like to delete. Please note that once a volunteer note has been deleted, it cannot be recovered.
- Confirm that you would like to delete the volunteer note.
Please note: this option is only available to users with the Administrator access level.
To SEARCH the system for information in a volunteer note, follow the steps below:
- Login to your CERVIS account.
- Click on the "Advanced Volunteer Search" link under the "Volunteer Management" section of the Main Dashboard.
- Click on the "Volunteer Note Search Options" heading to expand the section.
- Enter the criteria you would like to search for and click the "Search Volunteer Database" button to display a list of volunteers with the specified information located in the notes assigned to their profile.
Please note: this is an exact pattern match search only, multiple keyword search entries will not find a match unless the exact keywords are found in the exact order as entered.
