Question:
Is there any way to view email and text messages that have been sent using CERVIS?
Answer:
There are multiple different ways to view emails and SMS / text messages* that have been sent by you or another staff member through CERVIS. You can view any email or SMS message in the profile of the volunteer to whom it was sent. The System Log will also store email and SMS messages that were recently sent. Lastly, the primary organization email listed in the System Configuration will be sent a copy of all emails manually sent through CERVIS. As a note, you cannot view any messages that the system automatically sent out such as confirmation emails or reminder email/SMS messages. See below for more details on each of these options.
To view an email or text message through a specific volunteers’ profile, follow these steps:
- Login to your CERVIS account.
- Click on “Search/Manage Volunteer Database” under the Volunteer Management heading on the Main Dashboard.
- Search for the volunteer to whom you sent the email/text in the search bar at the top of the page.
- Click the “View Profile Details” icon () to the left of the volunteer name.
- In the pop-up menu that appears, scroll down and click on “Show More”.
- You will then see both “E-mail Message History” and “SMS / Text Message History” and you can click on the preview icon () to see the full contents of the email or text that was sent.
- For an email, you will be able to see the full contents including who sent the email, the date and time it was sent, the subject, the body of the email, and analytics about the email.
- For a text, you will be able to see the full contents including who sent the text, the date and time it was sent, the phone numbers of all recipients, and the full text.
To view emails and text messages sent from CERVIS in the System Log, follow these steps:
- Login to your CERVIS Account.
- From the Main Dashboard, click on "View System Log" under the "System Management" section.
- Email and SMS messages sent from CERVIS will be displayed in blue with a view message icon () on the left side of the entry.
- Click on the view message icon to view the email or text message.
- For an email, you will be able to see the full contents including who sent the email, the date and time it was sent, the subject, the body of the email, and analytics about the email.
- For a text, you will be able to see the full contents including who sent the text, the date and time it was sent, the phone numbers of all recipients, and the full text.
Please note, the System Log retains entries for 12 months before it deletes the oldest entries to make room for the new entries. Once a System Log entry has been deleted, it cannot be recovered.
To change the address that receives a copy of the manual emails sent through CERVIS, follow these steps:
- Login to your CERVIS Account.
- From the Main Dashboard, click on "Edit System Configuration" under the "System Management" section.
- Click on the first option, “Organization Information” to expand the section.
- Locate the “Primary Organization Email” field and update the email address.
- Click “Update Configuration” to save your changes and return you to the Main Dashboard.
