Based on the CERVIS Edition you have chosen, there are custom fields and custom drop-down boxes that you can use to create new fields in your system (they are only available to customers with the Premier or Standard version of CERVIS). Custom Volunteer Profile Fields allow you to collect information specific to your organization and your volunteers in addition to the built-in fields that you can choose from in the Information Collection section of the System Configuration. See below for a description of each type of custom field.
- Custom Volunteer Fields #1 - #3: The custom volunteer fields allow you to establish your own data fields for your volunteers. These fields can be used to create open-ended questions specific to your organization such as, “Why do you want to volunteer with us?”
- Use Field: Selecting “Yes” (or any of the “Yes” options) or “No” determines whether or not this field will be tracked on every volunteer profile.
- Req: Allows you to make this field “Required” or “Optional”.
- Field Name: This is the actual question you are asking or the description of the information you want to gather.
- Type: Allows you to determine the format of your volunteers’ responses. If you choose “Phone” for example, the system will ensure that only numbers are entered in the correct phone number format, including an area code. The “Text” or “Text Box” options allow your volunteers to enter anything, but “Text Box” has a higher character limit (up to 1,000 characters).
- Custom Volunteer Sensitive Data Field #1 - #3: These fields are used to store sensitive data about your volunteers such as Social Security Numbers or Driver’s License Numbers. This information is not displayed differently within CERVIS but is securely stored in the database with 256-bit AES Encryption. The Sensitive Data Fields are not searchable because of the high-level of data encryption.
- Display Sensitive Data Fields in Export: Select whether or not you would like to display the sensitive data field values when you perform an export of Volunteer information.
- Use Field: Selecting “Yes” (or any of the “Yes” options) or “No” determines whether or not this field will be tracked on every volunteer profile.
- Req: Allows you to make this field “Required” or “Optional”.
- Type: Allows you to choose which type of field your custom field will be. If you choose “Number” for example, the system will ensure that only numbers are entered into the field (i.e. Social Security Number).
- Field Name: This is the actual question you are asking or the description of the information you want to gather.
- Custom Volunteer Selection List Field #1 - #10: The custom selection list fields allow you to create a field with its own customized drop-down list from which your volunteers must select one item. These can be used to create fields with dropdown responses such as “yes or no” type questions or questions where your volunteers select their response from a drop-down list of preset responses.
- Use Field: Selecting “Yes” (or any of the “Yes” options) or “No” determines whether or not this field will be tracked on every volunteer profile.
- Field Name: This is the actual question you are asking or the description of the information you want to gather.
- Default: This field allows you to specify one of the items from your drop-down as the default response. This is optional, and if you do not include anything in this field, volunteers will be required to select one of the items entered below.
- Item #1- #13: You can fill in as few or as many items as you would like. Each of these items will appear as a separate item in the drop down list and your volunteers must select exactly one.
- More: If needed, this field can include a pipe-separated list of selection field options. There is no limit to the number of options that can be included in this field, however, there is an overall 500 character limit. The original 13 options have a 70 character limit in each field, so for longer items it is best practice to include those in the original slots and save the "More" slot for shorter entries and when you need more than 14 options total.
