Question:
There is a volunteer who is no longer active with our organization and no longer wants to receive email from us. How do I delete them from the system?
Answer:
It is not recommended to delete volunteers from the system. If they are no longer involved with your organization and do not wish to receive email from you, it is recommended that you mark them as "Inactive". Marking them as inactive will allow them to remain in the system so you have a record of past volunteer service (including volunteers hours for reports), but will ensure that they no longer receive email messages from your organization.
To mark a volunteer as INACTIVE, please follow the steps below:
- Login to your CERVIS account.
- Click on the "Search/Manage Volunteer Database" link under the "Volunteer Management" section of the Main Dashboard.
- Enter the volunteer's last name into the search field and click the "Search Volunteer Database" button.
- Click on the "Update / Edit Profile" icon () to the left of the volunteer’s name.
- Scroll down toward the bottom of the screen and change the value of the "Volunteer Status" field to "Inactive".
- Click the "Update Volunteer Information" button to save the changes to the profile.
If you would like to permanently DELETE a volunteer and all associated information completely from the system, follow the steps below:
- Login to your CERVIS account.
- Click on the "Search/Manage Volunteer Database" link under the "Volunteer Management" section of the Main Dashboard.
- Enter the volunteer's last name into the search field and click the "Search Volunteer Database" button.
- Click on the “Manage Profile” icon to the left of the volunteer’s name.
- Click on the "Delete <volunteer name> from CERVIS" link (last in the list) on the Volunteer Management screen. Please note that this option is only available to CERVIS users with the "Administrator" access level.
- If the volunteer has been registered for any events, are assigned as the leader of any event, interest categories or groups, the deletion will not complete until these items have been changed/removed.
- Click the "Yes, Proceed with Delete" button to confirm the volunteer deletion.
